1. Introduction
This Privacy Policy explains how SalesTrack ("we", "us", or "our") collects, uses, stores, and protects personal information when you visit our marketing website, use our cloud applications, or communicate with us.
We process personal data in accordance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules, where applicable. By using the Service, you acknowledge this Policy. If you use SalesTrack on behalf of an organization, you are responsible for ensuring your use complies with laws that apply to your business and customers.
2. Who is responsible for your data
For purposes of this Policy, SalesTrack acts as personal information controller for data we collect to operate our website, accounts, billing, and support.
When you store customer, patient, employee, or supplier records in SalesTrack, your organization is typically the controller of that business data, and we process it as a processor or service provider on your instructions to deliver the Service. Your organization must provide appropriate notices and consents to data subjects.
3. Information we collect
We may collect the following categories of information:
- Account and profile data — name, email, phone, organization name, role, and login credentials you or your administrator provide;
- Business operational data — inventory, sales, quotes, receivables, visit logs, photos, and other records you enter in the product;
- Employee and payroll data (if enabled) — attendance, leave, compensation-related fields submitted through SalesTrack or connected mobile apps;
- Billing data — subscription plan, payment status, and billing contact details (payment card data, if any, is handled by our payment providers, not stored in full by us);
- Usage and technical data — IP address, device type, browser, app version, log timestamps, and diagnostic information needed to secure and improve the Service;
- Communications — messages you send to support or sales, including email content and attachments.
4. How we use information
We use personal information to:
- Provide, maintain, and secure the Service, including authentication, backups, and troubleshooting;
- Process subscriptions, trials, invoices, and account changes;
- Respond to inquiries and provide customer support;
- Send service-related notices (for example, security alerts, billing, or material policy updates);

5. Legal bases for processing

Where we act as processor for your organization’s business data, we process that data according to your instructions and our agreement with you.
7. Data retention
We retain personal information for as long as your account is active or as needed to provide the Service, resolve disputes, enforce agreements, and meet legal retention requirements.
After termination, we may delete or anonymize data within a reasonable period, unless backup copies persist for a limited time or retention is required by law. You should export business records before closing your account where export tools are available.
8. Security
We implement reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, or misuse. These may include access controls, encryption in transit where supported, and monitoring of our production environment.
No method of transmission or storage is completely secure. You are responsible for protecting credentials and configuring appropriate user permissions within your organization.
9. Your privacy rights
Subject to applicable law, you may request access to, correction of, or deletion of personal information we hold about you, object to certain processing, or withdraw consent where processing is consent-based. We will respond within timeframes required by the Data Privacy Act or other applicable rules.
To exercise rights, contact us using the email below. We may need to verify your identity. If your request relates to data your employer controls in SalesTrack, we may direct you to your organization’s administrator.
10. Marketing website and cookies
Our public marketing site may use minimal technical cookies or similar technologies required for basic operation and security. If we add analytics or advertising tools in the future, we will update this Policy and, where required, obtain consent.
Marketing pages do not require an account. Information you submit through contact forms or email is used only to respond to your inquiry unless you later create a Service account.
11. Children
SalesTrack is intended for business use and is not directed at children under eighteen (18). We do not knowingly collect personal information from children. If you believe we have received such data, contact us and we will take appropriate steps to delete it.
12. International processing
Our primary operations and data hosting are oriented toward users in the Philippines. If infrastructure or subprocessors process data outside the Philippines, we take steps consistent with applicable cross-border transfer requirements, including appropriate safeguards where required.
13. Changes to this Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will change when we do. Material changes will be communicated via email or in-product notice where appropriate.
Continued use of the Service after an update takes effect means you accept the revised Policy.
